The AI landscape is evolving so quickly that committing to one tool for a year can feel outdated in just a few months. Employees are aware of this and prefer flexibility over being tied into a yearly subscription.

New models are being released all the time, just like we saw with the impact of DeepSeek on the market; the options available are rapidly changing. Employees know they need to keep one step ahead of their peers.

  3. Offer Approved AI Tools Companies should provide official AI solutions that meet security requirements while still giving employees the flexibility they need. This could mean offering a mix of enterprise AI tools and internal AI assistants.

  4. Adopt a Flexible AI Strategy The AI technology available changes fast. Instead of locking into long-term software contracts, businesses should remain agile, regularly reassessing which AI tools best meet their needs.

Shadow AI isn’t just going to disappear overnight; even with increased adoption of AI tools in the workplace, the thousands of different applications being released mean that users will always want to sneak in their latest personal favourites.

Companies that take an overly restrictive approach risk falling behind and damaging their competitiveness. Those that are too relaxed may suffer the consequences of a security breach or data privacy infringement. It’s also highly likely they could see their IP ingested into the data infrastructure of providers and regurgitated to third parties later on.
